Step 1. When you
Send or Reply to an email related to a project
or customer, you decide if want to save a copy to the server to
document the email. If it is a personal email, click Send like
you always do. If you want to save a copy to the project folder,
click the "SendSave" button instead of Send.
See the button
below:
OUTLOOK 2003:
Note A - If you do not see the Outlook button, click on the menu bar and select the SendSave button.
OUTLOOK 2007:

In Outlook 2007, the SendSave Button will appear on the "Add-ins" tab on the
ribbon.
Step 2:
Click the SendSave button to Send the email, SendSave will prompt you for which project
(Customer, Case, patient, property, etc.)
to save it to.
You select a project (or customer) name from the list. If the name is
not in the list, you add the name to the list and specify what the
default folder to save emails for that project (a one time event).
Don't worry - everyone on the network can share the same list for
ultimate efficiency.
The email file name defaults to whatever text is in the Subject line
of the email. You can modify the filename if you want to.
Now Click the SendSave button. A copy of the email is saved to
the folder with attachments and Outlooks sends the email as usual
and keeps a copy in your Sent folder, exactly the same as Outlook
works now. If there is a duplicate filename on the server, SendSave will prompt you to rename the new file or overwrite the
existing file. All this only takes about 2-4 seconds.
RECEIVING/SAVING EMAILS
When receiving an email and you decide you want to save a
copy of it for records, just open the email and press the
"Add to Project button".

SendSave will prompt you for the project name and save a copy of the
email to the proper folder on your server. The original will stay in
your Outlook Inbox just like it is now. You can do with it what you
want - keep, delete, or move it to another Outlook folder.
SendSave makes it fast and easy to document email correspondence in
your server. You can open .msg files by just clicking on the file and
reading it in Outlook. All attachments in the email will be available
with the .msg file.
